1. Cancellation Process

At NexChat (Brainbots Digital Pvt. Ltd.), we strive to ensure our customers are completely satisfied with our AI-powered messaging services. You can cancel your subscription or services at any time.

How to Cancel: Customers can cancel their subscription directly from their account dashboard or by sending a cancellation request email to sales@thenexchat.com from their registered email address.

Cancellation Timeline: Cancellation requests must be submitted at least 24 hours before the next billing cycle. If you cancel before your next renewal date, you will continue to have access to NexChat services until the end of your current billing period, and no further renewal charges will be made.

2. Eligibility for Refunds

We stand behind our services, but refunds are handled on a case-by-case basis depending on the subscription type and usage.

  • Monthly Plans: Monthly subscriptions are non-refundable after the first 7 days of the billing cycle. If a cancellation is requested within the first 7 days, a pro-rated refund may be issued, subject to a review of message usage.
  • Annual Plans: Annual subscriptions are eligible for a pro-rated refund for the remaining unused full months if cancelled within the first 30 days of purchase. No refunds will be provided for annual plan cancellations made after 30 days.
  • Add-on Credits & Extra Usage: Charges for additional message credits, custom AI model training fees, or phone number setup fees are strictly non-refundable.
  • Technical Issues: If you experience service disruptions or technical failures on our platform that prevent usage for more than 48 consecutive hours, you may request a credit or refund for that period.

3. Requesting a Refund

To submit an official request for a refund, please follow these steps:

  1. Send an email to sales@thenexchat.com with the subject line: "Refund Request - [Your Account/Business Name]".
  2. Provide the following details in your email to expedite verification:
    • Registered email address on NexChat
    • Invoice / Order ID
    • Transaction Reference ID / Payment Gateway ID
    • Date of Transaction
    • Specific reason for requesting a refund

4. Refund Timeline

Once we receive your refund request, our billing department will review the account usage and eligibility.

  • Review & Approval: Refund requests are processed and reviewed within 5–7 business days of receipt.
  • Credit Processing: Approved refunds will be automatically credited back to the original payment method used during purchase. The refund amount will appear in your bank account/card statement within 7–10 business days, depending on your bank or credit card issuer.

5. Applicable Charges

No cancellation charges or administrative fees apply to eligible refunds or cancellations. You will receive the exact refund amount approved by our billing department without any deductions.
